How Flamingo Workforce collects, uses and protects personal information — for the people who register with us and the organisations we work with.
Who we are
Flamingo Workforce is a trading name of TJ-Flamingo LTD (Company No. 14283487), registered in England & Wales. We are the data controller for the personal information described in this policy, and we are registered with the UK Information Commissioner’s Office (ICO).
This policy explains what we collect, why, how we protect it, and the rights you have. It applies to this website and to our recruitment services.
The information we collect
From work-seekers and candidates
Your name and contact details; your CV, employment history and qualifications; references; proof of identity and right to work in the UK; the results of background checks (enhanced DBS, PVG in Scotland or AccessNI in Northern Ireland) appropriate to the role; professional registration details; your availability and work preferences; and, where a placement proceeds, the information needed to arrange work and payment.
From clients and employers
The names and business contact details of the people we deal with, and the details of the roles you ask us to fill.
From website visitors
Information you submit through our enquiry and registration forms, and limited technical information collected through cookies and analytics — only with your consent (see Cookies and tracking below).
Some of this is “special category” information (for example, health information relevant to fitness for a role) or relates to criminal records (through DBS, PVG or AccessNI checks). We only handle this where the law allows and where it is necessary for the role.
How we use your information
We use your information for the purposes below, each with a lawful basis under UK data protection law:
- To provide recruitment services — matching candidates to roles and putting them forward to client employers. Bases: taking steps to enter into and perform a contract, and our legitimate interests in running a recruitment agency.
- To vet and stay compliant — verifying identity and right to work, obtaining references, and arranging the appropriate criminal-record checks. Bases: our legal obligations and legitimate interests; and, for special-category and criminal-records data, the employment and safeguarding conditions in UK law, with your explicit consent where required.
- To communicate with you — responding to enquiries and letting you know about relevant opportunities.
- To improve the website and measure our marketing — using analytics and, where you consent, advertising tools. Basis: your consent, which you can withdraw at any time.
Who we share it with
- Prospective client employers, so they can consider you for a role — with detail appropriate to the stage of the process.
- Organisations that help us run our service — background-check and reference providers, and our IT, hosting and software providers — who act on our instructions under contract.
- Government and regulatory bodies where we are required to, such as HMRC and the disclosure services.
We never sell your personal information.
Where your information is held
We aim to keep personal information within the UK and European Economic Area. Where a provider processes data outside this area, we put the safeguards required by UK data protection law in place.
How long we keep it
We keep personal information only as long as there is a lawful reason to. Candidate records are held for a defined period so we can offer suitable future opportunities and meet our legal obligations, after which they are securely deleted or anonymised. Enquiry and form submissions are kept for a limited period and then removed.
Cookies and tracking
Our website uses essential cookies needed to function. With your consent, we also use analytics (Google Analytics 4) to understand how the site is used, and advertising and measurement tools — which may include the Meta (Facebook) pixel and Google Ads — to measure and improve our campaigns.

Your rights
Under UK data protection law you have the right to access the information we hold about you; to have it corrected or erased; to restrict or object to how we use it; to data portability; and to withdraw consent at any time. Complaints
